The Service
The Education, Children and Young People’s Directorate exists to drive improvements in outcomes for all children aged 0 – 19 (and beyond for those with disabilities and care leavers) who live in Portsmouth.
What is the role?
This is a varied role providing administrative support to the Directorate, duties include:
• Dealing with all telephone calls directly and signposting callers to officers for further support as appropriate.
• Co-ordinating post.
• Administering Time Management System for all education staff.
• Dealing with mobile phone issues and petty cash for the Directorate.
• Updating and maintaining core Directorate information i.e., staff directory, emergency contacts and school details.
• Updating PCC web and Intralink.
• Data entry
Who is the person?
You need to:
1. Have experience of working in an administrative role
2. Have a good working knowledge of Microsoft Office, including Word, Excel, Access and Outlook
3. Possess good numeracy and literacy skills
4. Have an awareness of Data Protection Issues
5. Have good communication skills, as you will be dealing with people at all levels, both internal and external
6. Be customer-focused
7. Be able to resource and collate information
8. Have a good attention to detail and level of accuracy
9. Be able to work flexibly to meet the requirements of the team and wider service
10. Be able to prioritise your workload, and work well under pressure.
11. Be flexible and work on your own when required, particularly during school holiday periods.
